• Protection and Handling of Personal Information Collected by the West Group
  West Holdings Corporation (the “Company”) and the West Group companies (consolidated subsidiaries and equity-method affiliates stated in the Company’s securities report and so forth) (the “Group”) collect and use names, addresses, telephone numbers and other personal information of customers and shareholders (“Customers”) of the Group companies stated in questionnaires, application forms, contracts and so forth within the scope necessary for the appropriate, efficient operation of the Group’s businesses. The Group acknowledges its social responsibility to properly protect and use these Customers’ personal information (the “Personal Information”) and handles the Personal Information based on the following policy.
• ・Policy on Handling Personal Information
  The Group complies with the Act on the Protection of Personal Information and other related laws and regulations to properly handle Personal Information and undertakes continuous reviews and improvements as necessary.
  When handling personal identification numbers and specific personal information (“Specific Personal Information, etc.”), the Group complies with the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures (“My Number Act”) to properly handle Specific Personal Information, etc. and undertakes continuous reviews and improvements as necessary.
  When acquiring Personal Information and Specific Personal Information, etc., the Group will clarify as much as possible and disclose the purpose of use of the said information and handle it according to the purpose.
  The Group prevents the leakage, loss, damage and so forth of Personal Information. For the proper control of Personal Information, it has established Personal Information Protection Rules elsewhere. The Group observes and manages the said Rules appropriately.
  The Group accepts and responds sincerely to Customers’ requests for the disclosure, correction, deletion and discontinuation of use of the Personal Information held by the Group at its designated contact point.
• Purpose of Use of Personal Information
  The Personal Information acquired by the Group will be used for the following purposes:
  Proper execution of the general energy management business operated by the Group;
  Delivery of advertising and printed materials and those of third parties with whom the Group has partnership relationships and solicitation by telephone and so forth;
  New businesses and services, marketing activities and product development conducted in the Group;
  Questionnaire surveys to be implemented for better services and other improvements offered by the Group companies;
  Exercise of rights and performance of obligations based on contracts, laws and regulations and so forth;
  Business management of the entire Group; and
  Proper, efficient execution of transactions with Customers.
• ・Matters concerning Joint Use
  The Group may make joint use of Customers’ personal data as described below. If the joint use of personal data is restricted by relevant laws and regulations, however, the Group will handle personal data in accordance with the said laws and regulations.
• ・Scope of Joint Users
  West Holdings Corporation and the West Group companies stated in its securities report as consolidated subsidiaries and equity-method affiliates
• ・Items of Personal Data to Be Used Jointly:
  Basic information about a customer, including the customer’s name, postal code, address, date of birth, telephone number or other points of contact, information about the customer's family, information about the customer's employer and information about the customer’s transaction needs;
  Information about details of individual transactions with a customer, including the types of products and services purchased by the customer, customer control number, date of contract, construction completion date and purchase price;
  Information about a shareholder, including the shareholder number, number of shares owned, number of voting rights and name, branch office and account number of the bank to which dividends paid are transferred; and
  Information needed to manage transactions with a customer, including details about transactions with the customer.
• ・Purpose of Use among Users of Shared Information:
  Proper execution of business operations of the Group;
  Delivery of advertisements and printed materials and those of third parties with whom the Group has partnership relationships and solicitation by telephone and so forth;
  New businesses and services, marketing activities and product development conducted in the Group;
  Questionnaire surveys to be implemented for better services and other improvements offered by the Group companies;
  Exercise of rights and performance of obligations based on contracts, laws and regulations and so forth;
  Business management of the entire Group; and
  Proper, efficient execution of transactions with Customers.
• ・Entities Responsible for Handling Personal Data
  West Holdings Corporation and other West Group companies
• ・Provision of Personal Information to Third Parties
  When the customer’s consent has been obtained
  Cases where the disclosure or provision of Personal Information to a Group company or a subcontractor is needed for the Group’s business operations. When Personal Information is provided to a subcontractor, the Group confirms in advance that the Personal Information will be handled properly.
  In other cases where the disclosure of Personal Information is legally required or where there is a justifiable reason.
• ・Request from a Customer Whose Personal Data Is Held by the Group
  When a customer wishes their personal data held by the Group to be disclosed or corrected, the Group will respond to such request as appropriate upon the receipt of a document prescribed by the Group, except in the cases stated in the following items where a response to such request is likely to:
  Harm the life, body, property or any other rights or interests of the customer or a third party;
  Seriously impede the proper execution of the Group’s businesses; or
  Violate other laws or regulations.
  For details of the method of obtaining a request form and other documents prescribed by the Group and other procedures, please contact the West Group Personal Information Help Desk as stated below. 2,000 yen (not including taxes) will be charged as the handling fee for each request for the disclosure of Personal Information.
